Job Description

Position Purpose

This position will perform operational duties of the Hospitalist Program by providing the following duties:

  • Promotes effective communication between the administrative and clinical teams and the ancillary support services within the Acute facilities of Renown Regional and Renown South Meadows.
  • The Hospitalist Coordinator will work to ensure optimal performance and efficiency of the program, and is responsible for contributing to improved workflow processes, communications, and standards, as well as onsite initiatives for operational, financial and clinical performance.
  • Builds and collaborates the relationships with peers and other staff members to achieve departmental and corporate objectives.
  • Understand the site's requests around committee participation and assist clinical and administrative leaders with ensuring hospitalist participation.
  • Communicate to hospitalist team key announcements and maintain important team documents.
  • Provides a variety of routine and specialized clerical and administrative services in support of a administrative and clinical leaders.
  • Facilitates and tracks onboarding activities for new providers and team members while serving as a liaison between the new hire and the Hospitalist Services Team.
  • Work within applications to ensure monthly credentialing and provider licensures completed and proactively follow up on missing needs in a timely manner.
  • Works constructively with all physicians, hospital leadership, nursing and other professionals to accomplish program goals and facility metric drivers.
  • Provide administrative support to special projects.
  • Coordinate monthly and quarterly meetings, both within hospitalist team and with hospital partner leadership, including scheduling, agenda, room/material facilitation, and meeting minutes
  • Manage incoming discharge phone calls, faxes, and mail.
  • Responds and notifies physicians of pharmacy related calls ensuring the provider connects with the needs.
  • Maintain a Master team list and hospital contacts.
  • Assist hospitalist team with death certificates, medical of necessity paperwork, patient FMLA, and other forms completion.
  • Regulation and tracking of monthly and quarterly metrics and productivity reporting for team.
  • Assists physicians to maintain compliance with patient billing submission.
  • Assists ancillary departments as the liaison for other required documentation needs.
  • Maintains physician reimbursement submissions and records for CME events as delegate to providers.
  • Report out daily (M-F) census numbers to all of the hospitalist team.

In addition to the above duties, this position provides spontaneous and accurate responses to routine and complex inquiries utilizing the resources of Renown Hospitalist Services. High standards of courtesy, performance, and respect for confidentiality are essential. This position has frequent contact with patients, families, providers, and health system personnel. This position will support the Mission Statement and Vision of Renown Health. The incumbent will support the Triple Aim of Renown Ambulatory Services and represent the Renown Hospitalist Services Program in the highest of standards.

Nature and Scope

This position is challenged to effectively work under pressure and be able to identify and maintain priorities; to communicate effectively with all types of people and have the ability to respond to simultaneous requests and demands, remaining tactful and courteous. The individual must possess strong telephone communication skills focused on customer service and satisfaction. This position will answer and triage various needs for a team of over 80 providers, including scheduling, ancillary services liaison, and processes specific to the function of the group and their approved standards.

This position will utilize the resources throughout the Renown Integrated Health System, linking programs and applications, to optimize the patients' healthcare experience. This position will work closely with all hospitalist resources to ensure important communication is relayed through all transitions of care This position can also be responsible for documenting in Epic as directed by Hospitalist Services Physician's, APRN's and Nurses.

* Ability to document relevant data in Epic as deemed necessary.

This position is hybrid. There is an onsite expectation for this role of around 3-4 days per week. The remainder of the work can be done from home per leadership approval.

This position does not provide direct patient care but does communicate with discharged patients / families and/or legal representatives.

Education:

Must have working-level knowledge of the English language, including reading, writing, and speaking English. Mathematical skills. College or health care degree preferred.

Experience:

1-2 years of administrative support experience, 1-2 years in customer service / administrative for a hospital or other healthcare experience preferred.

Computer / Typing:

Must be proficient with Microsoft Office Suite including Outlook, PowerPoint, Excel, and Word and have the ability to use the computer to complete online learning requirements for job-specific competencies, access online forms and policies, complete online benefits enrollment and learning requirements. Ability to learn and effectively utilize Epic.
